**Purpose: This document contains the Standard Terminology to help you get started with Autymate.
What is Autymate
Autymate is the easiest way on the planet to autymate your accounting and payroll processes. Autymate exclusively focuses on Accounting and Payroll, so we are the best in the world at auty-mating your company’s specific accounting and payroll process so you can save time and money and focus on what matters to your business.
With Autymate, you can use an easy-to-use workflow (auty-mations) tool to connect accounting and payroll systems to other apps you use every day. You can pass data through them and automate repetitive accounting and payroll tasks without having to code or relying on developers.
For example, let’s say you want invoices to be created in your accounting system (i.e., QuickBooks Online, + dozens more) when a new order is placed in your CRM like Salesforce. You can manually copy the data from Salesforce every order is approved to your accounting system, or you can have Autymate do that for you, saving time and reducing errors and effort.
Learn the Key Concepts and Terminology in Autymate
Now, let’s learn some standard terms you will encounter as you work with the Autymate Editor.
Autymate Platform
This is the glue that connects your accounting or payroll systems to hundreds of apps so you can fully Auty-mate your account and payroll process.
One thing that is unique about Autymate is that it is excellent at:
- First and foremost, building accounting and payroll integrations with ease that follow best practices for the specific accounting or payroll system you are working with.
- Second, it can also rapidly build APPS.
Auty
An Auty is an automated workflow between your apps built via the Auty-mation workflow in our platform. For example, let’s say that you automated your invoicing process by connecting to SalesForce and QuickBooks Online. This would be called an Auty (short for Automation).
Or let’s say you connected your Shopify store to QuickBooks Online to create an invoice on QuickBooks for every order created in your Shopify store. This would be called an Auty.
In simple terms, an Auty is an Automation you created in the Autymate Platform. You can also add additional apps to an Auty and chain them together. For instance, you could send a MailChimp email to your Customer after completing the order in Shopify.
Remember Auty is an abbreviation of the word Autymation and that every Auty needs at least 2 Apps, one Trigger and an Action, for it to e complete.
Auty-mation
These workflows in the Autymate Platform walk you through the steps to build your custom payroll and accounting workflow. Once you complete the Auty-mation workflow, your other systems or files will work as if they were made to work together with your accounting or payroll system.
An easy way to remember this is that “Auty” is built by the “MATION” or automation workflow.
Autymate Editor
It is a visual, no-code platform that empowers business users to automate complex accounting and payroll processes faster and cheaper than traditional approaches. All without a single line of code.
App
An app is a file, web service, API, or application, such as Excel, CSV, Google Docs, Slack, QuickBooks, or Salesforce. Autymate offers over 200+ app integrations, letting you move data between them or automate repetitive accounting or payroll tasks with ease.
Trigger
A trigger is an event that starts an Auty.
For example, if you want to create an invoice each time you receive an order in Salesforce, the trigger is the Order in Salesforce being set to the status of approved
. Learn more about using triggers in Auty’s
Sample Data
When you first set up your Auty trigger, Autymate will attempt to find some sample data from your trigger app to use in the Auty. For example, if your trigger brings in data from a new Google Sheets spreadsheet row, Azpier will pull in a sample row. The sample row can then be used as test data in an action step later in the Auty.
Syncing Interval
An Auty syncing interval is the frequency that your Auty’s will check the triggering App for new data. When you upgrade to a Professional plan or higher, your Zaps will check for new data and run every 5 minutes instead of 15 minutes as on the Free and Starter plan. So, for example, if you use Autymate to trigger emails to customers, the emails will be sent within 5 minutes instead of 15 minutes. Learn more about Autymate’ss pricing plans.
Action
An action is an event an Auty performs after it is triggered.
For example, if you want to send an invoice every time you receive a new order, the action is ‘send create an invoice’.
BASIC Autymate Navigation
Basic Navigation Terminology
The Autymate Platform Navigation is broken down into the following Hierarchy:
- Clients: Container of Projects
- Projects: Container for an Auty-mation or APP
APP
Autymate is the only integration platform on the market that allows you to build APPS. That is right. You can build APPS like the Apps you are connecting with, like SalesForce. So you can create APPS to organize your data and integrate other systems with the APPS you built. So you are not confused. So whenever we talk about an APP we built using the Autymate Platform, we call it an APP all UPPER CASE.
For example, every time you build a new Auty-mation, autymate builds a custom APP that you can drill into and configure to meet your company’s needs.
For example, you could build an APP to manage your sales leads, similar to how you can create custom tables in a CRM like SalesForce to manage company-specific data. You could then integrate that APP with other systems to build APPS that fully automate and centralize your business process in one place. You can also integrate the APP you build with Other APPS like Google Sheets. The CRM, you built-in Autymate, could have features like editable grids, forms, and reports.
Please Note: The APP Building feature is in BETA and is used internally to build our application. We are slowly rolling this functionality out to our customers so they can build their own APPS. If you are interested in the functionality, please contact sales.
Project
Projects refer to Auty-mations and APPS you can access in Autymate. You can see the current Project you are in by looking at the top navigation bar. In addition, a user can be given access to a Specific Project or a Client.
Client
Projects are created under a Client. A client is typically the name of the business. A user can have access to Multiple Clients. For instance, a Bookkeeper could access all of their Client’s Auty-mations they built to autymate their client’s payroll and accounting processes from one login and switch between companies with ease by clicking the client drop down the middle of the top navigation bar.
MY PROJECTS View
When you first log in to Autymate, you are in the “MY PROJECTS VIEW” this view allows you to see all APPS and Auty-mations you have access to. It also allows you to see roll-up reporting of all your Auty-mations to see a birds-eye view of how all your integration is running.
You can get to the main view by clicking on the Autymate logo.

Quick Summary
Putting the Terminology Together
Let’s put all the terminology together to understand all the concepts together.
Via a simple workflow called Auty-mations, you create new Projects or Auty’s in the Autymate Editor.
An Auty is a workflow that connects your Apps
to do something that contains:
- A’Trigger` indicates when to run
- A
Action
is what it does -
A
Action
works withFields
mapped in theAuty-mate Editor.
-
A
Task
is the result of the action taking place
Best Practices for Bringing Elements Together to Create Your Autys
For every Auty you want to create, you should keep the following in mind:
-
The Apps you want to use
-
The Business Rules it should follow
- The Fields (Info) If you want to move
Don’t forget
Auty = When(Trigger) + Do(Action)
Advanced Concepts and Terminology
Premium app
Premium apps are exclusively available to users on a paid plan (Starter plan or higher). Premium apps are available for Autys during your free 14-day trial but will require a paid plan to continue using them after your trial expires.
Filter
Filters can be added to any Autys to restrict it to running only when certain conditions are met. For example, if you want to create an invoice each time you receive an order, you can add a filter, so the Auty only runs when orders are set to a specific status. Learn more about using filters in Autys.
Multi-step Autys
A single-step Auty has one trigger and one action. It is considered a multi-step Auty if the Auty has more than one action or includes filters or searches. Multi-step Autys are not available on a free Auty plan.
