AMT | Workflow - Steps to Creating Your First Transaction Workflow in Autymate Follow
Discover how to create a transaction workflow in Autymate. We will choose the Create Invoice Workflow on QuickBooks Online for this specific type of transaction using an Excel file as a source.
Workflow | Connect to (Source)
- To start auty-mating your workflows, you have to connect (upload) your source file. If you have already uploaded a source file in the past, you may choose it from the list.
- If not, you may click on ‘Upload new file‘ to upload your source file. You will then be prompted with this screen. Finally, you can click on ‘Select Files‘ or drag and drop a file from your computer.
Once done, click on ‘Test Connection‘. Testing the connection lets us know if Autymate is connected to the source. - If it is, you will see ‘’Successfully Tested- Test Again“. From there, click on Complete File Upload.
- Choose which tab from your uploaded Excel file you want to use, as each tab will need a workflow of its own.
Now that your source is already connected to Autymate let’s start connecting your Quickbooks!Workflow | Connect to (Destination)
Connecting to the destination means connecting your files to the correct Quickbooks account. - You may choose from your connected Quickbooks accounts, or you can connect a new account to Autymate. Click on ‘Connect new account‘ to add a new Quickbooks account.
- If you choose to connect a new Quickbooks account, you will be prompted to log in to the app.
Once your Quickbooks account is connected, you can set up the destination settings.

These fields will ask you to choose from pre-selected items in the settings recommended by Autymate.
Click on the drop-down to choose the best option for these settings. You may come back to adjust these settings in the future as you see fit. You may also hover your mouse to the question marks to learn the options.
When done, click Next on the upper right-hand corner.

Now that your source and destination settings are all set, it is Autymate’s time to work!
- While we work on the background, you will be asked to enter your email for notifications for pre-validation.
💡 Tip: Enter the best email you are using so the system can email you for notifications. - Make sure to turn on ‘EnablePrevalidation because it allows you to prevalidate the data before running it. It may take a little more time, but it increases the app’s performance.
When done, click Next on the upper right-hand corner.
Workflow | Field Mapping
One of our users’ favorite parts of the app is the Field Mapping section, as it looks the same as Quickbooks.
This section automaps everything based on ‘NLP‘ (Natural Language Processing). There are two types of view under Field Mapping: Form View and Grid View.
Form View
Below is the Form view. It is the default view you see when you land on the field mapping section.
- Fill up the form fields to map your auty-mation. Be sure to fill up the required fields with the asterisks.
- Tap the cogs button on each form field to further customize your data. You can choose default overrides and any advanced functions.
- An alert shows up when you missed some fields for mapping. Always make sure to fill out the required fields with asterisks.
Grid View
Below is the Grid view, and it offers the same level of customization as the Form view.
You may also tap the cogs in the Grid View to add specifications on each form field.
Click Next for Pre-validation.

Review your file data in the grid to check for errors before you auty-mate them.

If you feel like you need to edit something, tap onto the cells to edit.
💡 Tip: If there are any data issues, you will see the highlighted alert in the red underline. -
Autymate allows you to previous your invoices. To do that, click on the Preview Invoice button at the top. The invoices will appear on a pop-up screen.
Once everything looks excellent, tap Next.
Workflow | Name Your Auty-mation
Naming your auty-mation means naming the specific workflow transaction you are currently doing. Your auty-mations will appear on your Auty History section.
- Give your Auty-mation a name and then tap “Run Your Autymation.
- Wait for your data to auty-mate.
Wait for your auty-mation to finish.
Workflow | Review and Validation
- On the Review and Validation page, tap on the cells in red text to fix any errors. You can resubmit the errors to fix any issues.
- You may also click Suggestions so Autymate can give you solutions to resolve the issue.
- Once done, tap Finish.
Once the auty-mation process is done, it will take you to the Auty-mations Page.
You will find all of the auty-mations you have done so far on this page. - If you want to edit the mapping, connection settings, auty-mation settings, view your Auty History or delete an autymation, click on the three dots menu.
Congratulations, you just finished your first transaction workflow in Autymate! Now, you know the critical steps to having your bookkeeping on autopilot!
